Start with a clear technical reference
Include the current 2D drawing and, where available, a 3D CAD model. Identify the drawing revision and part number so that everyone is discussing the same version. If you only have a physical sample, explain what it represents and which dimensions or functions must be reproduced.
A photograph can help explain the application, but it may not define the full manufacturing requirements. Flag missing dimensions, interfaces or other details that need clarification.
Define the requirements that affect the quotation
- Material type and grade, including any acceptable alternatives.
- Required quantity, with prototype and repeat-order quantities separated.
- Critical dimensions, tolerances, threads and applicable standards.
- Surface finish, roughness, coating or heat-treatment requirements.
- Required inspections and any documentation to be agreed.
- Requested delivery date, delivery destination and packaging needs.
Distinguish essential requirements from preferences. A tolerance or finish that is necessary on one feature may not be necessary on the entire part. Mark those differences clearly rather than leaving them to interpretation.
Make the remaining questions visible
If material, batch size or delivery timing is still provisional, say so. Ask which assumptions are being used in the quotation and which technical or commercial points need confirmation. Quotation scope, production timing and delivery arrangements should be reviewed for the individual project.
Before sharing sensitive drawings, raise any confidentiality or NDA requirements with ProcAL. The relevant arrangements can then be discussed before technical files are exchanged. A complete RFQ starts a technical review; manufacturing feasibility and partner capacity are assessed for the specific request.
